You have found a rental in Japan, but carrying a large suitcase there is another problem. Before paying for luggage delivery to Airbnb in Japan, check who can actually receive it. A complete street address and a self-check-in code do not answer that question.
Quick answer: Yamato permits delivery to a vacation rental with a staffed reception willing to accept it. Its published policy excludes rentals without a reception desk. For those stays, investigate sales office pickup or keep the suitcase with you. Check the carrier's rules before shipping; a host's permission alone is not carrier acceptance.

A host offering to meet you briefly is different from a staffed reception. Likewise, a lockbox, smart lock or parcel locker should not be treated as approval for a particular luggage service. Describe the actual setup rather than simply calling the destination a “hotel.”
If the address is an apartment building, save the full address and building name exactly as the host provides them. Do not copy an approximate map pin into a shipping label. A wrong building or missing room detail can create a second problem even after the receiving arrangement is settled.

A service may collect a bag from a rental without delivering bags to one. Airporter illustrates the distinction: its current policy allows collection from private lodging in Tokyo and Kansai with an additional fee and customer-service instructions, but does not allow delivery to Airbnb properties or hotels without front desks. When comparing a search result or booking form, write down the direction: “airport to rental” or “rental to airport.” Also check whether the result describes ordinary parcel delivery, a luggage service, or an airport return service. Similar wording can hide a different route.

Use the following original planning template. Fill in the blanks; send it through your booking platform rather than sharing unnecessary personal information publicly.

Hi, I will be staying from [check-in date] to [check-out date]. I am considering sending [number] suitcase(s) with [carrier]. Is there a staffed reception that can accept and hold them on [proposed delivery date]?
Please confirm the receiving hours, any storage charge, and the exact property name, address and guest-name format I should use. If there is no staffed reception, please let me know so I can choose another option. I will also confirm the arrangement with the carrier before shipping.
Keep the reply with your reservation details. A vague “you can leave your bags” might mean after you arrive in person, so ask specifically about a courier arriving before you do.
Choose a backup when your arrival and bag will not match
Yamato's vacation-rental FAQ states at least one to three days for delivery, depending on the area. Get a route-specific estimate before handing over a bag; do not build a same-day plan around that general guidance.
Planning example, not a customer case: you land in Tokyo in the evening and stay two nights at a self-check-in apartment. If your bag cannot be collected until after you leave that neighborhood, forwarding has not solved the problem. Carrying it, or using short-term storage before check-in, may be simpler.

For the office-pickup option, use Yamato's official sales office pickup instructions. Confirm the branch's name, postcode, address and center code. This service does not use convenience stores as collection destinations.
A practical handoff sequence
- Choose: identify an office you can reach with a full-size suitcase.
- Confirm: show the destination and collection plan to the sending counter.
- Record: save the receipt and tracking number before leaving.
- Collect: check tracking before making the trip.
Yamato says to wait for the tracking status “Waiting for Customer Pickup.” General parcels can be held for up to seven days, including arrival day; office opening times vary. The published service also says office-addressed parcels cannot be transferred onward, so plan to collect at the chosen office.

Do a “last ten minutes” check on your map: the walk from the office to the rental, stairs at the building, and whether you can manage every bag yourself. A convenient dot on a map is less useful if the final stretch is difficult with luggage.
Check your contact number and pickup documents
For the alternative office route described in its Airbnb FAQ, Yamato requires a phone number on the waybill where you can be reached in Japan. If your travel setup only provides mobile data, ask the counter what acceptable contact arrangement you can use. Do not enter a dummy number or use a host's number without permission.

A low shipping quote is only part of the comparison. Add the cost and effort of reaching the sending point, collecting at the other end, and any storage you need in between. Ask for the quote for your actual route and bag rather than relying on a price from someone else's trip.
