Sales Price

Service fees are shown on each service page or provided individually by quotation. Taxes, bank transfer fees, transportation fees, accommodation initial costs, school application fees, tuition, and other actual expenses may be charged separately when applicable.

Before payment, HarukaBase itemizes support fees and actual costs so customers can confirm the invoice clearly.

Payment Method and Timing

As a general rule, payment to HarukaBase is made by bank transfer. We currently do not accept credit card payments.

Payment timing depends on the service content and will be explained before the customer makes a formal application or final confirmation. When necessary, HarukaBase may also specify another payment method in advance.

For actual costs charged by schools, accommodation providers, taxi companies, or other third-party service providers, HarukaBase may make payments on behalf of the customer. In that case, support fees and actual costs are itemized separately so the customer can review the details before payment.

Service Start Timing

Service begins after request details are confirmed and payment has been received, unless otherwise agreed in writing. The exact start timing may vary depending on the service, availability of partner companies, and customer-provided information.

Cancellation and Refunds

Because HarukaBase provides support and arrangement services, chat support and other support work that has already started or been provided after payment is generally non-refundable.

However, for long-term chat support services, if a mid-term cancellation occurs, HarukaBase may refund the unused period on a daily prorated basis. Any domestic bank transfer fees, international remittance fees, or other transfer-related costs incurred for the refund are the customer’s responsibility.

Schools, Housing, and Third-Party Services

If cancellation occurs after payment, refunds related to schools, accommodation providers, or other third-party service providers are handled according to each provider’s cancellation policy.

Even when HarukaBase has paid actual costs on behalf of the customer, whether a refund is available, the refund amount, and the timing of the refund are determined by the relevant service provider. Any bank fees or transfer fees related to the refund are the customer’s responsibility.

Airport Pickup and Taxi Arrangements

For airport pickup and taxi arrangements, cancellations are generally accepted up to 3 days before the scheduled service date.

For last-minute cancellations due to the customer’s own circumstances, refund availability depends on the reservation status and the taxi company’s policy. If the service cannot be used due to circumstances not caused by the customer, such as a major flight delay, cancellation due to severe weather, or transportation disruption, HarukaBase will make reasonable efforts to arrange a refund where possible.

If the flight arrival is delayed, HarukaBase will generally try to adjust the arrangement so the driver can wait until midnight. However, the available response may vary depending on driver availability, airport arrival time, traffic conditions, and other unavoidable circumstances.

HarukaBase is not directly responsible for delays, cancellations, or service interruptions caused by natural disasters, severe weather, transportation disruptions, communication failures, incorrect information provided by the customer, circumstances on the side of partner companies, or other events beyond our reasonable control.

However, if a problem occurs, HarukaBase will sincerely support communication, confirmation, and coordination between the customer and the relevant service providers.
